Who we are

The Invoice ("we", "us") provides a mobile invoicing application for tradespeople at theinvoice.com.au. This policy explains what personal information we collect, why we collect it, and what you can do about it.

Information we collect

Account information: your name, email address and password (stored securely by our authentication provider) when you register.

Job and client information: details you enter or dictate about your jobs, including client names, job addresses, phone numbers, line items and prices, deposit settings and notes.

Voice recordings: audio you record to create invoices or buy list entries, and the transcripts generated from them.

Payment information: subscription payments are processed by Stripe. We do not see or store your full card details.

Usage information: basic technical data (such as device type) needed to run the service.

How we use your information

We use your information only to provide the service: creating and sending your invoices, saving your clients and records, learning your prices, running your buy list and managing your subscription.

We never sell your personal information or use it for advertising.

Voice transcription and AI processing

To turn your voice recordings into invoices, recordings are sent to secure transcription and AI processing providers on our behalf. Recordings are used only to produce your invoice or buy list entry.

Who we share information with

We share information only with service providers that help run The Invoice: our hosting and database provider, our authentication provider, Stripe (payments) and transcription/AI providers. Each is bound to keep your information secure and use it only for the service.

Security

Your data is stored in a secure cloud environment with access controls. Invoice links sent to your clients use unguessable private links. However, no internet service can guarantee absolute security, and you should keep your account password safe.

Retention and deletion

We keep your records for as long as your account is active so you can access your invoice history. If you close your account or ask us to delete your data, we will delete your personal information, except where we are legally required to keep records (for example, tax records).

Your rights

Under the Australian Privacy Act 1988, you can ask to access, correct or delete the personal information we hold about you. Contact us through the details published on this website and we will respond within a reasonable period.

If we change this policy, we will publish the updated version on this page.
